This checklist guides you through each step of the Ottili ONE onboarding process. Complete these steps to set up your workspace for success.
Overview
The onboarding process consists of 10 steps that configure your company, profile, plan, modules, and workspace. Some steps are required, while others are optional depending on your needs.
Step 1: Welcome
Purpose*: Introduction to Ottili ONE and the onboarding process.
What happens*: You'll see an overview of what the onboarding covers and an introduction to the platform.
Action required*: None — just review the information and proceed.
Step 2: Company Profile (Required)
Purpose*: Set up your business identity in Ottili ONE.
What you'll provide*:
- Company Name*: Your legal business name
- Phone*: Company phone number (optional)
- Address*: Business address (optional)
- Industry*: Select your primary industry (E-commerce, Retail, Technology, Manufacturing, Services, Other)
- Company Size*: Number of employees (1-10, 11-50, 51-200, 201-500, 500+)
Why this matters*: Your company profile personalizes your experience and helps Ottili ONE provide relevant recommendations and features.
Tips*:
- Use your official legal business name for invoices and documents
- Industry selection helps tailor module recommendations
- Company size may affect plan recommendations
Step 3: Your Profile (Required)
Purpose*: Set up your personal profile for approvals and team collaboration.
What you'll provide*:
- Display Name*: Your name as it should appear to team members
- Phone*: Personal phone number (optional)
- Role*: Your role in the company (default: owner)
Why this matters*: Your profile is used for approvals, notifications, and team collaboration. The display name appears in the approval queue and team communications.
Tips*:
- Use your preferred name for team communications
- Phone number can be used for SMS notifications if enabled
- Role determines your default permissions (can be changed later)
Step 4: Plan Selection (Required)
Purpose*: Choose the plan that fits your business needs and budget.
Available plans*:
- Free Forever*: €0 for every company — includes the core dashboard, Business Hub basics, Ottili AI and Flows with a limited usage allowance (AI credits, API requests, storage and more).
- Paid plans*: company-wide AI credits and wallets, higher usage meters and additional modules. Paid plans are being prepared for general availability; the current details live in the [billing overview](/docs/billing-overview).
Why this matters*: Your plan and usage allowance determine which modules and limits you can use. You can change your plan later from Settings → Billing*.
Tips*:
- Start on Free Forever to validate Ottili ONE with your own data
- Review the [usage & limits reference](/docs/usage-and-limits) to understand the free allowance
- Paid plans add capacity and modules as they become available — you are never charged without explicit confirmation
Step 5: Module Selection (Required)
Purpose*: Select the modules you want to enable for your workspace.
Available modules*:
- Business Hub*: The always-on ERP/CRM core (customers, deals, quotes, orders, invoices).
- Ottili AI*: AI assistant with approval-first automation.
- Flows*: The workflow automation engine.
- Marketplace Connect*: Unify Shopify, eBay and Kleinanzeigen.
- Ottili Shop*: A platform-native e-commerce store.
- LD3 Content*: AI-assisted content creation and publishing.
- Ottili Coder*: Developer workflows and code automation.
What modules do*: Each module adds specific functionality to your workspace. Modules integrate with Business Hub and can be used by Ottili AI and Flows.
Why this matters*: Activating modules gives you access to specialized features. You can activate or deactivate modules later.
Tips*:
- Start with LD3 Content if you create marketing content
- Add Ottili Shop or Marketplace Connect if you sell online
- You can always add more modules later from Settings → Modules*
Step 6: AI Settings (Optional)
Purpose*: Configure AI preferences and budget limits for your workspace.
What you'll configure*:
- AI Provider & Model*: Choose the AI provider and model available to your workspace. Defaults are set by Ottili and may change as models are added or retired.
- Budget Limit*: Set a monthly budget limit for AI usage (optional)
Why this matters*: AI settings control how Ottili AI operates and help manage costs. Budget limits prevent unexpected charges.
Tips*:
- Use the default provider and model unless you have specific needs
- Set a budget limit if you're concerned about costs
- AI usage is tracked and can be monitored in Settings
Step 7: Connections (Optional)
Purpose*: Connect your existing tools and services to Ottili ONE.
Available connections*:
- eBay*: Connect your eBay seller account for listing and order management
- Shopify*: Connect your Shopify store for product and order sync
- Email*: Set up email notifications for alerts and updates
- Telegram*: Connect Telegram bot for notifications and approvals
What connections do*: Integrations bring data from external tools into Ottili ONE, enabling unified workflows and automation.
Why this matters*: Connections let Ottili ONE work with your existing tools instead of replacing them. Data flows automatically into your workspace.
Tips*:
- Start with the tools you use most frequently
- Connections are read-and-prepare by default for safety
- Approval gates prevent accidental external actions
- You can add connections later from Settings
Step 8: Team Invites (Optional)
Purpose*: Invite team members to join your workspace.
How to invite*:
- Enter team member email addresses
- Click "Add" to add each email to the invite list
- Review the invite list before proceeding
- Invites are sent when you complete onboarding
Why this matters*: Team collaboration lets multiple people work in the same workspace with appropriate permissions.
Tips*:
- Invite team members who will actively use the platform
- You can invite more team members later from Settings
- Each invitee receives an email with signup instructions
- Team members can be assigned roles (admin, employee, etc.)
Step 9: Workspace Setup (Required)
Purpose*: Create your first workspace and define your initial focus.
What you'll provide*:
- Workspace Name*: Name for your workspace (defaults to "[Company Name] Workspace")
- First Task*: Describe what you want to accomplish first (optional)
Why this matters*: Your workspace is where your business operations live. The first task helps Ottili AI understand your priorities.
Tips*:
- Choose a descriptive workspace name if you have multiple workspaces
- The first task helps personalize recommendations
- You can create additional workspaces later
Step 10: Completion
Purpose*: Review your setup and start using Ottili ONE.
What happens*: Your onboarding data is saved, your workspace is created, and you're redirected to the dashboard.
What's next*:
- Explore the dashboard and Business Hub
- Connect integrations if you skipped them
- Invite team members if you skipped them
- Build your first Flow for automation
- Configure module settings as needed
Tips*:
- Take time to explore the dashboard
- Check the approval queue for any pending items
- Review module documentation for advanced features
- Contact support if you need help
